Para Legal & Office Administration

Reporting to the Vice President Finance, this position will assure the smooth day to day running of Para Legal functions & Office administration. It will support the organization by dealing and coordinating of any request regarding administration, agreements, etc. (principally Trademark/Franchisee) for entities in Switzerland, France, Italy, China/Hong Kong and Spain.

This is a role for a true team player who uses her/his initiative, works well under pressure and always with a smile.

Key Responsibilities

Para Legal function:
- Coordinate signing and filing process of documents/agreements
for Group entities and Third parties
- Correspondence in English and German
- Keep Filing systems and Archive up to date
- Administrative work related to bank accounts and insurances
- Support further development of all administrative functions
- Help in preparing documents for meetings, audit etc.
- Support special projects as required

Office Administration & Front desk:
- Answer calls in English and German
- Pick up and distribution of daily courier
- Order and organize office material

Key Requirements:
- Commercial background with several years of experience in a similar position
(min 3 – 5 years)
- Excellent knowledge of Microsoft Office, in particular Word and Excel
- Very good English skills in writing and oral, knowledge of German is considered an asset
- Excellent organizational skills with proven ability to multi-tasking, independent work and to completion of projects within required deadlines
- Analytical mindset and advanced attention to accuracy and detail
- Must enjoy a consistently fast-paced and challenging work atmosphere
- Team player
