Facility Management Coordinator

YOUR TASKS AND RESPONSIBILITIES

In this role you will be responsible to provide assistance for all internal and external customers as one of the first points of contact within the company and to provide support in all matters concerning Facility Management (FM), Health Safety Environment (HSE), Real Estate (RE) and Security
Major tasks:
• HSE and Sustainability
o Help ensure BCC AG provides a clean and healthy working environment; help ensure the safety of all employees and visitors on site; help protect property from damage; help ensure the reputation and stability of the company is maintained in respect to HSE, FM, RE and Security.
o Help ensure safety of the site (in compliance with established HSE practices), supporting emergency response plans for the offices (with the necessary training, exercises, etc.) to ensure the safety of all employees, visitors and property from any kind of damage.
o To assist with the Crisis Management Concept, participate in any relevant training and to perform the assigned tasks in an emergency or training exercise.
• Facility Management
o Assist with the implementation of the FM Strategy and WAVE in your relevant function and carrying out tasks as assigned via WAVE.
o To be SPOC (single point of contact) for the assigned service providers; to organize the relevant checks and controls, etc.; maintain an overview of all the suppliers; to be responsible for the coordination and competent implementation of the relevant facility services and to assist with the monitoring and reviewing of the service contracts annually.
o To deputize for colleagues and their SPOCs in their absence, maintaining an overview of all the suppliers.
o To supervise the maintenance program (technical installations, etc.) and ensure the tasks under the preventative maintenance plan are carried out in time and are regularly controlled.
o To be responsible for helping to run the daily business within FM Support, including assisting in all matters concerning furniture, materials and equipment (delivery, storage, installation, repair, maintenance, relocation and correct disposal) within set time limits.
o Organize churns either internally or with a service provider, including planning relocations / rearrangement of offices (in alignment with FM guidelines and employees).
• Security
o To help ensure the security of the site (in compliance with established safety & security practice).
o To act upon and report any incidents that may present a safety or security issue.
• Project Management
o Assist with relevant FM projects, as required.
o Coordinate and align with external service providers during refurbishments, relocations etc., where necessary.
• General Administration & Services Management
o Help ensure external service providers daily service is carried out as required.
o To help organize and further develop vendor / contract management in your relevant fields
• Event and Technical Support : Offer assistance in all matters concerning technical support and set up for events e.g. conferences, workshops, seminars etc.

• Technical Know how/Skills (Facility Management experience)
• Customer Service
• Event AV Support Knowledge
• Team player
• Computer skills (MS, Outlook, WAVE)
• Fluent English and German. Extra language a plus
