Responsible for support the General Manager & Finance Manager with all aspects of the administration for their location and ensuring accuracy of the data.

Responsible for:
•The administration of purchasing
•The administration of payroll
•The administration of stock taking
•The administration and assignment of staff lockers across different buildings
•Weekly & daily financial reporting
•Supporting the administration of menus
•General office administration
•Generally ensuring the accuracy of all data worked with
•Supporting Operational Team

The administration of purchasing
•Processing of invoices in the financial systems
•Supporting with goods receiving administration
•Chasing & ensuring credit notes are received
•Reconciliation of supplier statements
•Creating of purchase orders
•Ordering of non routine purchases
•Preparing daily goods receive list for storekeeper
•Prepare accruals
•Transfer or catering goods in back end system
•Collaboration with Purchasing Team for quotes / offers
•Administration of repair and maintenance

The administration of stock taking
•Preparing stock sheets ahead of stock counts
•Processing stock into the financial systems
•Updating prices periodically
•Analysing stock
•Monitoring Par Levels

Weekly & daily financial reporting
•Daily spend reporting
•Agency spend reporting
•Ad-hoc reporting

General financial/office administration
•Closing the weekly bookwork
•General filing
•Prepare travel expenses
•Write minutes for QBD
•Raising invoices to catering clients
•Administration of credit cards sales
•Support profit protection compliance


•1 year in a financial, administrative or similar role
•Financial or administrative qualification
•Fluency in English and German written and spoken
•Ability to work with multiple stakeholders and leaders
•Ability to work in a team and influence across job functions and company levels
•Strong attention to detail
•Basic excel
•Basic accounting systems
•Procurement systems
•Google suite of productivity apps - Gmail, docs, sheets etc.
